Inventories

A professional inventory is a full and detailed description of the property and its contents, with a statement of their condition. It will include everything from walls, flooring and light switches to gardens, furnishings and appliances.

The inventory provides the evidence of the condition of the property at the commencement of the tenancy and will be required to be submitted in the event of a dispute.

This report can be kept for more than one tenancy; if there have been no changes.

Check in reports

At a check-in, the property is inspected and compared to the inventory. Any variations seen are noted on the inventory.

If there have been significant changes to the property, since the inventory was last used, it is likely that a new inventory will be required. In order to authenticate the inventory it must be signed by both the landlord and tenant or their representative. The 'master inventory' (that agreed at the Check-in) should be kept safe for use at the end of the tenancy or in the event of a dispute.

Gas and electric readings are taken at the time of check -in.

Check out reports

The check-out report is a comparison of the condition of the property and its contents at the end of the tenancy with its condition as noted on the inventory at the beginning of the tenancy.

Notes are made on the 'master inventory' of any variations since the Check-in if requested. An inventory clerk will then list the significant differences on a Check-out report. When booking a check out the original inventory/ check in report should be provided by landlord, tenant or agent for a comparison to be made.

If we are not provided with a copy of the inventory/ check in report when carrying out the check out inspection it is then down to the Landlord or Agent to compare the check in and check out reports so tenant can have full, part or no deposit back.

Final meter readings are taken and noted.
Mid term inspection

A Mid Term inspection is a report which can be carried out during the tenancy. i.e.: if the landlord wants the tenants to sign a new tenancy agreement if they wish to extend their contract, or if the landlord wishes to check the general condition of the property.

This report includes a brief overview of the condition of the property in comparison to the check in report i.e. walls, floors, furnishings and appliances which can be seen (as tenants belongings will be present).

Tenant should be present when the inspection is carried out, if this is not possible we will need confirmation that tenants have been informed that the inspection will be taking place.
